Set up salary templates and pay grades

Define pay grades once so new hires get the right salary structure automatically.

Open Salary Templates

Go to HR & Payroll and select the Salary Templates tab (sometimes listed as Pay Grades). This is where you define the standard pay structure for each grade in your business.

Create a new template

Tap New Template. Give it a name that matches your internal grade — e.g. 'Grade 7 — Senior Officer' or 'Level 3 — Manager'. This name appears on payslips.

Set the basic salary

Enter the Gross Basic Salary (₦) for this grade. This is the baseline figure before allowances and deductions.

Add allowances

Tap Add Allowance for each recurring extra payment in this grade — e.g. Housing Allowance (₦30,000), Transport Allowance (₦15,000), Medical Allowance (₦10,000). You can set each allowance as a fixed amount or a percentage of basic salary.

Add standard deductions

Tap Add Deduction for anything always deducted at this grade — e.g. a cooperative contribution, staff welfare levy, or loan repayment plan. PAYE and pension are computed separately by the payroll engine and don't need to be added here.

Save the template

Tap Save Template. The grade now appears in the Grade dropdown when you add or edit an employee — picking it auto-fills their salary structure, saving you from entering the same numbers for every new hire.

Assign the template to employees

Open an employee's profile (Employees tab → click their name → Edit). In the Salary section, pick the correct Grade from the dropdown. Their basic, allowances, and standard deductions all update instantly.

Update grades for pay reviews

When you do a pay review, edit the template (tap the grade name → Edit). Any employees assigned to that grade have their pay updated automatically on the next pay run — no need to change each person individually.
